REDCap Usage Fees

REDCap Usage Fees

REDCap usage fees are necessary for the continued availability of REDCap as a research tool and to allow improvements to the system and services. These nominal per-project and annual fees will help cover administration and operational costs such as hosting, storing, and upgrades and it will ensure that we can keep REDCap a sustainable endeavor here at UConn Health.

What is the fee?

The fee for a new project is $150/first year/per project. Every year thereafter while your project is in REDCap, you will be billed $75/year/per project. Projects will continue to incur charges as long as they remain in the system. Once your project has been deleted, you will no longer be billed – please note refunds for partial year is not provided.

Fees are waived for projects that are only for current UConn undergraduate/graduate students solely for the purpose of a thesis, dissertation, or capstone project, and not grant-funded. *students do not have paid/benefited appointments

When will I be billed for my projects?

The project creation date is when the project was moved to the production system. The initial move-to-production fee will be billed at the end of the month for when it was created. Annual fees will be billed based on the creation date. *All projects that were migrated from the REDCap 1 system and all REDCap 2 projects that were created before February 2023, will have an annual bill date of January.

When you request your development project be moved-to-production, you will be asked for your billing information. This information is required.

How do I pay my bill?
Invoices will be generated in our CORES billing system, and the project billing contact will receive a notification from the system (Idea Elan).

There are two ways to pay for an invoice on your account:

  • Check (Please make checks payable to UConn Health and reference your invoice# on the check. You can mail the check, along with a copy of your invoice, to: Clinical Research Center, 263 Farmington Ave., Farmington, CT 06030-3805
  • Through our UConn intercompany accounting. Email researchfinance@uconn.edu a copy of the invoice and your KFS/FOAPAL account to charge. If they are not set up in the CORES billing system, they may need to register.

What happens if I don’t pay for a REDCap project?

If a project is not paid within 60 days, the project will be inactivated. This will take the project offline. This will be strongly enforced in 2024, so please be sure you do not have an outstanding balance.
