REDCap Usage Fees

REDCap Usage Fees

All REDCap projects are subject to usage fees. These fees are necessary for the continued availability of REDCap as a research tool and to allow improvements to the system and services. These nominal per-project and annual fees will help cover administration and operational costs such as hosting, storing, and upgrades.

What is the fee?

The fee for a new project is $150/first year/per project. Every year thereafter while your project is in REDCap, you will be billed $75/year/per project. Projects will continue to incur charges as long as they remain in the system. Once your project has been deleted, you will no longer be billed. Please note: refunds for partial-year usage are not provided.

Fees are waived only for current UConn undergraduate/graduate student projects which are solely for the purpose of a thesis, dissertation, or capstone project, and are not funded. Only those projects that meet all 3 conditions should be marked as a student project on the move-to-production request form, and supporting documentation will have to be provided. Please note: Students do not have paid and/or benefited appointments; Fees are NOT waived for Resident or Fellow projects.

When will I be billed for my projects?

When you submit your development project’s move-to-production request, you will be required to provide your billing (i.e., FOAPAL, KFS) and contact information (please note, the name on the FOAPAL/KFS account must match the contact information provided).

The date your project is locked in production will be considered the project’s official creation date for billing purposes. A new project fee of $150 will be invoiced at the end of the month in which the project is created. Annual maintenance fees of $75 will be billed in subsequent years, based on the project’s original creation date.

Invoices are generated via our CORES (Idea Elan) billing system, and the project billing contact (as indicated on the move-to-production request) will receive a notification from the system. If the PI/Lab is not set up in the CORES yet, they will need to register. For more information: Cores/Idea Elan and Cores User Registration.

What happens if I don’t pay for a REDCap project?

If a project is not paid within 60 days, the project will be inactivated. This will take the project offline. This is strongly enforced, so please be sure to pay your invoice on a timely manner.
