Assessments<\/a>.<\/p>\n<p>&nbsp;<\/p>\n<p><a href=\"#top\" aria-label=\"Back to top of page\">Back to top<\/a><\/p>\n<hr \/>\n<p><!-- ========================= Section: Project Eligibility ========================= --><\/p>\n<p><a id=\"project-eligibility\" aria-hidden=\"true\"><\/a><\/p>\n<h2 aria-labelledby=\"heading-project-eligibility\" id=\"heading-project-eligibility\">Project Eligibility<\/h2>\n<p>All REDCap projects <strong>must<\/strong> meet the following requirements:<\/p>\n<ul>\n<li>A <strong>Principal Investigator (PI)<\/strong> who is a faculty member employed and paid by<br \/>\n<strong>UConn Health<\/strong> or the <strong>University of Connecticut<\/strong>.<\/li>\n<li>Proof of research use via <strong>one<\/strong> of the following:\n<ul>\n<li>A UConn\/UConn Health IRB approval letter or exempt determination letter<\/li>\n<li>A reliance letter indicating UConn\/UConn Health IRB oversight by another IRB<\/li>\n<li>A Human Subjects Research Determination form signed by the UConn\/UConn Health Human Subjects Protection Office<br \/>\nindicating the project is <strong>NOT human subjects research<\/strong> (the project must still be for research purposes only)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>Your approved study materials dictate what data you may collect and how it may be stored in REDCap.<br \/>\nThis includes your protocol, consent forms, IRB application, data security assessment, HIPAA authorization\/waiver,<br \/>\nand related documentation.<\/p>\n<p>All project fields and forms\/instruments must match what has been IRB-approved.<\/p>\n<p>Always refer to your IRB-approved plan to confirm whether and how your project may use REDCap.<br \/>\nAll projects must maintain valid IRB approval for their entire duration.<\/p>\n<h3 aria-labelledby=\"heading-project-end-dates\" id=\"heading-project-end-dates\">Project End Dates &amp; Data Removal<\/h3>\n<p>REDCap is for active data collection only and cannot be used for long-term data or project storage.<\/p>\n<ul>\n<li>All projects must have an end date and cannot remain in REDCap indefinitely.<\/li>\n<li>When active data collection ends or IRB approval expires, the project and its data must be removed from REDCap.<\/li>\n<li>You must have an external storage plan for long-term retention, documented in your IRB-approved protocol.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><a href=\"#top\" aria-label=\"Back to top of page\">Back to top<\/a><\/p>\n<hr \/>\n<p><!-- ========================= Section: REDCap Account Requests ========================= --><\/p>\n<p><a id=\"account-requests\" aria-hidden=\"true\"><\/a><\/p>\n<h2 aria-labelledby=\"heading-account-requests\" id=\"heading-account-requests\">REDCap Account Requests<\/h2>\n<p>REDCap accounts are available to all University of Connecticut and UConn Health faculty, staff,<br \/>\nand currently enrolled students for research-related purposes.<\/p>\n<h3>External Users<\/h3>\n<ul>\n<li>External user accounts may be granted to non-UConn Health\/non-UConn users via sponsorship by their UConn\/UCH Principal Investigator (PI). On the application, they must identify their UConn\/UCH PI. We will then create an external account linked to the PI\u2019s account (the PI must already have a REDCap account).<\/li>\n<li>External (non-UConn\/UConn Health) users will not have the ability to create new projects; they may only access projects to which they are formally added.<\/li>\n<\/ul>\n<h3>Account Requirements<\/h3>\n<p>Once all requirements below are met, request access by submitting the <a href=\"https:\/\/uchredcap.uchc.edu\/redcap\/surveys\/?s=FLJ8DEFNND7H8A78\" aria-label=\"Open the REDCap Account Application\">REDCap Account Application<\/a>.<\/p>\n<ul>\n<li>All REDCap users must use their institutional email address.\n<ul>\n<li>Personal email addresses (Gmail, Hotmail, etc.) are not acceptable.<\/li>\n<\/ul>\n<\/li>\n<li>Generic or multi-user accounts cannot be granted.<\/li>\n<li>All users must complete the appropriate institutional and federal regulatory requirements per IRB of record<br \/>\n(e.g., CITI Courses, HIPAA training, or external equivalent).<\/li>\n<li>All users must complete required <a href=\"https:\/\/projectredcap.org\/resources\/videos\/\" rel=\"noopener\" class=\"external\">REDCap Training Videos<\/a> before using REDCap:<br \/>\nIntroductory Overviews, Basic Features &amp; Functionality, and Project Types (approximately 1 hour total). Fees stop only once a project is\u00a0removed from the system.\u00a0<em>Partial-year refunds are not provided.<\/em><\/p>\n<h3 id=\"usage-fees\">REDCap Usage Fees<\/h3>\n<ul>\n<li>$150 per project\u00a0for the first year<\/li>\n<li>$75 per project per year\u00a0for each subsequent year<\/li>\n<\/ul>\n<p>Fees are assessed\u00a0per project, not per user or per IRB, and are intended to offset operational and administrative costs associated with maintaining the REDCap environment.<\/p>\n<h3 id=\"fee-waivers\">Fee Waivers for Student Projects<\/h3>\n<p>Usage fees are waived<span>\u00a0<\/span><strong>only<\/strong><span>\u00a0<\/span>for projects that meet<span>\u00a0<\/span><strong>all<\/strong><span>\u00a0<\/span>of the following criteria:<\/p>\n<ol>\n<li>The project is conducted by a<span>\u00a0<\/span><strong>current UConn undergraduate or graduate student<\/strong><\/li>\n<li>The project is<span>\u00a0<\/span><strong>solely<\/strong><span>\u00a0<\/span>for a<span>\u00a0<\/span><strong>thesis, dissertation, or capstone requirement<\/strong><\/li>\n<li>The project is<span>\u00a0<\/span><strong>not funded<\/strong><\/li>\n<\/ol>\n<p>Only projects that meet\u00a0all three conditions\u00a0may be designated as student projects on the\u00a0<em>Move to Production<\/em>\u00a0request form.\u00a0Supporting documentation is required.<\/p>\n<p><em><strong><br \/>\nImportant Clarifications<\/strong><\/em><\/p>\n<ul>\n<li>Students do<span>\u00a0<\/span><strong>not<\/strong><span>\u00a0<\/span>hold paid or benefited appointments<\/li>\n<li>Fees are<span>\u00a0<\/span><strong>not waived<\/strong><span>\u00a0<\/span>for Resident or Fellow projects<\/li>\n<li>Funded student projects do<span>\u00a0<\/span><strong>not<\/strong><span>\u00a0<\/span>qualify for a fee waiver<\/li>\n<li>Projects that do not meet all eligibility criteria will be billed standard usage fees<\/li>\n<\/ul>\n<h3 id=\"billing\">Billing Timeline &amp; Process<\/h3>\n<ul>\n<li>When will I be billed?\n<ul>\n<li>When submitting a development project for<span>\u00a0<\/span><em>Move to Production<\/em>, you must provide valid billing information (e.g.,\u00a0FOAPAL or KFS) and a designated billing contact. The billing contact name must\u00a0match\u00a0the FOAPAL\/KFS account holder.<\/li>\n<\/ul>\n<\/li>\n<li>Billing Milestones\n<ul>\n<li>The date a project is\u00a0locked into Production\u00a0is considered its official creation date<\/li>\n<li>A\u00a0$150 new project fee\u00a0is invoiced at the end of the month in which the project enters Production<\/li>\n<li>Annual maintenance fees of $75 are billed in subsequent years based on the original Production date<\/li>\n<\/ul>\n<\/li>\n<li>Non-Payment Policy\n<ul>\n<li>Invoices must be paid within\u00a060 days\u00a0of issuance.
